Present at a live event

A live event is [can we describe?]. As a presenter, you'll be able to speak to the attendees, selecting whether to share your video and/or presentation slides. You can also participate in the live Q&A if it's being used and chat with other presenters and the RCPCH staff acting as 'producers'.

What you can do as a presenter

  • Manage recording and reports

The link to join a live event as a presenter will be different from the link that attendees receive. To join the event as a presenter, simply click on the link on your calendar invite.

Typical issues presenting a teams live event

Generally, the person at RCPCH organising the event will provide you with all the instructions for presenting a teams live event, but there are a few things you need to consider beforehand as well.

  • Make sure to use the desktop app if you are joining as a presenter will need to use the desktop app. This is very important, as otherwise, you will not be able to present event (i.e. share video, audio etc) using the web or mobile app.
  • You need to have a guest account RCPCH Microsoft Teams. This means being a member or former member of a Team or Channel within RCPCH. The organiser should check this beforehand, but it is worth keeping in mind.
  • Make sure you mute yourself when you are not presenting, as otherwise, attendees and other presenters can hear you.
  • Send any presentations to the producer ahead of the meeting, instead of sharing those presentations yourself. This will make the event run smoother and ensure that you do not accidentally share potential sensitive or confidential information with the audience.

Join an event as an external presenter

You will have received an invite to attend a Teams Live event as presenter. As you are a Guest on the RCPCH organisation, you will need to take a slightly different approach to join the event:

If you use Microsoft Teams across multiple tenancies, we recommend that you first switch to the RCPCH tenancy.

How to switch to the RCPCH tenancy

  • Click on Join Live Event link included in the calendar invite you were sent. Note that you should not try to do this directly from your Teams app, as it will be associated with a non-RCPCH tenancy. Instead, go into your Outlook calendar and open the invite directly from there.
  • The link will take you to the web app. Select either Download the Windows App or Open Microsoft Teams if you already have the app installed to your computer.
  • Click on Join Now. You can choose to turn on or adjust your audio and camera settings from here if you wish to. You will notice the message at the top saying Join as a presenter too.

  • You are now signed into the live event and waiting for the organiser to start the event.

While you are waiting, you can familiarise yourself with the different options, such as share your screen, share audio, chat with the organiser and other presenters.

To leave the Live Event, simply click on the Leave button in the top right-hand corner.
